MISSION OF THE DEPARTMENT
The WWF Global Conservation Division aims to unite WWF Offices around the delivery of a common conservation strategy. It comprises the leaders, teams and related network communities of the nine global practices, the teams of Planning and Coordination, Global Policy & Advocacy, Global Campaigns, Collective Conservation Impact and Area-based Conservation (or such variations of these departments as may be agreed from time to time). These units work together in an integrated manner to encourage, inform, support and facilitate the optimal convergence of conservation functions across the WWF Network. The Chief Conservation Officer (CCO) is responsible a) for the direction and coherence of the global conservation strategy, b) for ensuring that the impact of the strategy is measurable by the Global Operations division, and c) for the effective delivery of the functions of each department within the Global Conservation Division.
MAJOR FUNCTIONS
Supports the CCO in uniting the WWF Network in the collective delivery of WWF‘s Global Conservation Programme.
To assist the Division in the day-to-day management of their core team with designated administrative duties and support the core team members in the effective fulfilment and execution of their functions.
Support the promotion and establishment of a ‘learning organisation’ – that improves the problem-solving capacity of the practice through better access to knowledge and expertise. Supports the CCO's Knowledge Management function and supports communications.
Ensure the efficient management of the CCO and liaise effectively with other WWF International Divisions, Practices and WWF National Organizations, Programme Offices and Associates, as well as external partners and contacts.
Assist CCO and Senior Director Planning Enabling and Integration/Deputy Conservation Direct for greater efficiency and productive time management. Actively support engagement with internal and external stakeholders.
(If possible) – Provide logistical support to the Global Conservation Committee.
Major Duties and Responsibilities
- Manages the administration of the CCO Department, and ensures deadlines are met.
- Organizes, prioritizes and tracks agenda, meetings, appointments and endeavours to streamline the CCO and Senior Director Planning Enabling and Integration/Deputy Conservation Director's calendar, email and ensures timely responses to invitations and other requests.
- Supports in the tracking and management of the CCO's financial health, by managing the contracting and invoicing; Tracking and overseeing new consultancies; liaising with the Business Finance team as needed for problem-solving.
- Serves as an initial point of contact for the CCO by monitoring the team’s group email address; Answers and screens enquiries and correspondence in an appropriate manner, based on familiarity with subject matter, and refers others to appropriate staff members or department.
- Builds and maintains a ’virtual community of conservation' where people connect, share and learn knowledge – that drives a culture of continuous improvement – using online platforms, collaboration and communication tools. Organizes calls and meetings for the CCO team (collectively and individually), Conservation Directors Forum (virtual and face to face as needed) and communities of practice; zoom management, following up on actions and other ad hoc support.
- Contributes to the delivery of a Knowledge Management Strategy for the division, supporting division staff in developing content, maintaining the Global Conservation Hub, and coordinates delivery of internal communications of the division through updates, newsletters etc.
PROFILE
Required Qualifications.
- At least 8-10 years’ relevant experience as a senior assistant/team coordinator in an international environment.
- Experience in knowledge and community management and communication.
Required Skills and Competencies.
- Diplomatic and approachable communication style, with the ability to cultivate enthusiasm and interest in subject matter and engage at all levels; ability to facilitate group discussions/debates.
- Responsive, efficient and a positive manner and the ability to work both independently and as part of a team; meticulous attention to detail and follow-up with excellent organizational and prioritization skills;
- Experience of major software packages utilised in WWF: Google Workspace and Microsoft, Zoom. Experience of Mail Chimp and design packages (Canva, photoshop, video or similar) desired. Excellent command of written and spoken English; other languages a plus.

WORKING RELATIONSHIPS
Internal.
Works closely with Practice Leaders and other leaders/teams within the Global Conservation Division as well as National/Country Office Conservation Directors, Global Science Team, Global Conservation Committee and others. Actively engages with other Team Managers/Coordinators from WWF-International.
External.
External partners and stakeholders as required.
